    “

Your mind is for having ideas, not for holding them. By moving your tasks into a trusted system outside your head, you free up your mental resources for what your brain is actually good at: pattern recognition and creative problem-solving.

According to David Allen, this happens because you are breaking agreements with yourself. When you tell yourself you need to do something but fail to capture it in a trusted system outside of your head, your brain refuses to let it go. It "pings" you because it doesn't trust you to remember, leading to a constant state of low-grade anxiety. By externalizing these tasks, you signal to your brain that the information is safe, allowing it to stop the repetitive loops.

The Two-Minute Rule states that if a task takes less than two minutes to complete, you should do it immediately while you are clarifying your incoming information. The logic is that it would take more time and energy to store, track, and review that task later than it would to simply finish it now. This prevents small tasks from snowballing into a giant mountain of "psychic weight" and helps maintain high momentum throughout your day.

Most people fail at productivity because they keep vague items like "taxes" or "vacation" on their lists. This creates friction because the brain has to re-evaluate what those items actually mean every time you see them. By defining the very next physical action—such as "download W-2 form"—you bridge the gap between a vague intention and a concrete task. This granularity reduces the mental resistance to starting and makes it easier to make progress.

The Weekly Review is considered the cornerstone of the GTD system because it ensures your system remains current and aligned with your goals. Once a week, you take a step back from "doing" to "reflect," emptying your head of new ideas, updating project lists, and reviewing your calendar. This regular maintenance prevents your trust in the system from eroding and ensures that your daily actions are actually moving you toward your larger aspirations.

Natural planning follows the way the brain instinctively thinks: defining purpose, visualizing outcomes, brainstorming, organizing, and then identifying next actions. Traditional planning often skips the "why" and the visualization, jumping straight to organization. By starting with the purpose and a clear "win-state," you tap into your innate creative abilities and ensure that all subsequent brainstorming and organization are focused and purposeful.
